Obtain location and make reservations

  Advertising: press release, posters, yard banner, etc. 6 weeks prior
 

Enlist volunteers to help at event

  • Judges (at least 3 per event)
  • Contest moderators (2 per contest to supervise participants and help judges)
  • Set up and clean up crews
  • Kitchen crew to prepare food and set it out
6 weeks prior
  Print all materials for contests and activities: sign-in sheet, the judging sheets for each contest, contest signs, direction signs, and instructions for other activities 2 weeks prior
  Print certificates for various winners 2 weeks prior
  Make trophies or 1st place awards 2 weeks prior
  Gather materials for table games 2 weeks prior
  Obtain hay bales 1 week prior
  Obtain materials for Scarecrow posts 1 week prior
  Purchase food and drink: Hot Dogs, Buns, Condiments, Hot Chocolate, Apple Cider, or Other Seasonal Drinks event week
  Prepare posts for scarecrows (saw posts, attach screws to main posts, and drive posts into ground) event week
